Systems and Processes Made Our Giveaway Possible
Earlier in 2025, we ran a giveaway to celebrate our 5-year anniversary. It happened at a time when we were VERY busy with client projects–the busiest we’ve ever been, in fact! Having to conceptualize the giveaway and create everything we needed to bring it to life could have easily derailed us if we weren’t systems and process people.
But because we are, we thought through the entire project plan in one meeting and executed our separate work with very little back-and-forth.
The work required us to use EIGHT different software tools (Mailerlite, Canva, Bit.ly, Squarespace, 1Password, Google Drive, Gmail/chat, and Dubsado) and build/create the following:
Landing page for email newsletter sign-up (Mailerlite, Canva)
Landing page for giveaway sign-up (Mailerlite, Canva)
PDF flyer with a QR code (Canva, Bit.ly) (shout out to Trish Koetting at REDI for printing and hanging our flyer!)
Social media graphic (Canva)
An interactive banner on our website to announce the promotion (Squarespace)
Coupon codes for the winners (Dubsado)
Cloud storage for the image files created along the way (Google Drive)
Communications and announcements for the giveaway (Gmail/chat, Mailerlite)
We also used the following assets to support bringing these things to life:
Our “On Brand Designs” standard operating procedure that contains:
Our Brand CoRE (shout out to Alicia at With Joy Brand Co.!)
Our Brand Visual Guide (shout out to Greg Grimes! 🫶)
It was A LOT of work, but the project came together in a very short amount of time–and with minimal friction–because we have systems and processes that guide our work.
Are our systems and processes perfect? Hardly. In limbo at times? Yes, definitely right now. Evolving? Always–we’re building it as we fly! But we can (and do!) rely on them to keep us in the air–even if there’s turbulence. 🥂💃🏽
And because we apply the approach and mindset we talk about in this blog, we feel more equipped than ever to handle whatever small business ownership throws our way–or any ideas that hatch at 11 pm on a Friday night.
The next time you’re freaking out because everything in your business feels like a hot mess, remember that systems and processes are what can keep it from feeling this way. And yes, they do take time and energy to build–but they’ll reduce the friction that can ultimately slow you, your team, and your entire business down.
We have to slow down to speed up, and many small business owners say they don’t have time for this. We get that, but the time you’re wasting dealing with friction will eventually push you or your business over the edge. When it does, we’re here for you.
